How to Import a Schedule

This article will teach you the proper way to import game or event schedules to your LeagueApps site. If you are using LeagueApps new club scheduling experience, view that step-by-step guide by clicking here.

Follow these steps to get your schedule into your LeagueApps site. First choose which type of schedule you want to import:

⚠️ Locations and Sub-locations must be created in advance.
Teams you wish to assign games or events to during the import will need to be created in the program before the import.

Importing a Regular Game Schedule

Step 1: Download and open the template.

Download the template here: import-files_LeagueApps_Schedule_Import_Template.csv

Step 2: Input Schedule information 

Column Header Required? Description
SUB_PROGRAM   Name of the sub program the schedule is being imported into.  If the program isn't grouped, you can leave this blank.  Make sure each cell in the column is identical, or you will get an error!
HOME_TEAM Yes Name of the Home Team (⚠️ you can leave these as "Team 1, Team 2, Team 3" and choose which team will be which when you import and map the teams)
AWAY_TEAM Yes Name of the Away Team (⚠️ you can leave these as "Team 1, Team 2, Team 3" and choose which team will be which when you import and map the teams)
DATE Yes Must be in MM/DD/YYYY format.
START_TIME Yes Must be in military time using hh:mm format
END_TIME   Must be in military time using hh:mm format
LOCATION   Optional. If left blank, will default to TBD.
SUB_LOCATION   Optional.
TYPE Yes Choose from: REGULAR_SEASON, PLAYOFF, CHAMPIONSHIP, TEAM_PRACTICE, SCRIMMAGE, QUARTERFINALS, SEMIFINALS, FINAL, FRIENDLY, TOURNAMENT
NOTES   Optional

Step 3: Save your spreadsheet as a .csv file

File size can only be 2mb or smaller.

Sept 4: Import the Schedule

  1. Navigate to the schedule/ calendar tab within the desired program. Click Import Schedule. 
  2. Click Choose File and select your saved .CSV file. Once it is loaded, click Upload & Validate

Step 4: Map your Import

Be sure to select the correct program from the Program's drop-down menu.

Then match up each team and location from your schedule. If the teams are not spelled 100% correctly, the tool will allow you to select the proper team from the dropdown list of teams. 

⚠️ If you have Program Grouping enabled, you are able to select the appropriate sub-program within each main program. In the example below, you can select the 11U subprogram underneath the Registered Teams Test Tournament master program.

 

Once everything correctly matches, click Next in the top right corner.

Step 5: Review and Accept your Schedule

Here you will want to review your schedule. If everything looks correct you can click Accept.

⚠️ You can still edit the details of the schedule after it is imported. 

After reviewing your schedule, you can check on the Publish Games or Publish Events box to publish your schedule.
 

Pool Play Schedule

Step 1: Set up a Pool Play Tournament 

  1. Create a Tournament using a Grouped Program
  2. Name the Master Program using the name of the Tournament, e.g. Dodgeball 2020 Tournament
  3. Create and name sub-programs for each Division, g.g. Dodgeball 2020 Tournament: 9U is the sub-program. This lets you set different prices per division or age group

Step 2: Accept Team Registration

Allow teams to register to a division, then you can manually move teams into pools once registration is complete.

Step 3: Create Pools & Move Teams

  1. From the Master Program dashboard go to the Teams tab and click Pools
  2. Choose a Division and add a pool
  3. Move available teams into the pool by checking the box next to the team name and clicking Add to Pool
  4. To remove teams from pools, check the box for the team and click Remove from Pool

Step 4: Export Team List

  1. Click on Teams then click Team List from the dashboard of the master program.
  2. Export the Team List to CSV

Step 5: Build your Schedule

  • The LeagueApps Schedule Generator currently works for Round Robin and Single Elimination tournaments only 
  • For the Pool Play schedule generator, we recommend you use whichever method works best for your organization. 
  • Download the LeagueApps Pool Play Schedule Import template from the Management Console by navigating to the master program Schedule and clicking Import Schedule. You will see a button to Download Import Template.

Step 6: Import Schedule

  1. Click the Schedule tab from the master program dashboard
  2. Click the Import Schedule button
  3. Select the .CSV file and click the Upload & Validate button

Step 7: Validate the Schedule

  1. Select the appropriate program from the Program drop-down menu
  2. Confirm that each imported field is mapped to the accurate corresponding field for Subprograms, Teams, and Locations.
  3. When you are done making changes, click Next and then click Accept

Step 8: Publish

Control if Games are published for each Division using the toggle switches on the left-hand side of the page.

Step 9: Enter Scores

  1. From the schedule, click the trophy icon
  2. Enter points scored for each team
⚠️ Optional: exclude a specific team's game score from standings calculations. For example, if you need a team to play an extra 4th game because of an unbalanced schedule, you may only want to count their first 3 game scores towards standings.

Importing an Event Schedule

Step 1: Download and Open the Template

Download the Template here: LeagueApps_Schedule_Import Event Template.csv

Step 2: Input Schedule Information

SUB_PROGRAM   You can leave this blank unless you are importing a schedule that has games for multiple sub-programs within the same master program. When in doubt, leave it blank.
NAME * Name of the Event
TYPE * Type of Event (⚠️ this can be a Game, Tournament, Scrimmage, Practice, Meeting, Class, Camp, League, Training, or Other )
START_DATE * MM/DD/YYYY (⚠️ This can be edited in Microsoft Excel by highlighting the cells that have dates and click "Format" > "Cells" > "Date" > and selecting the correct layout of MM/DD/YYYY.)
END_DATE  

MM/DD/YYYY (⚠️ This can be edited in Microsoft Excel by highlighting the cells that have dates and click "Format" > "Cells" > "Date" > and selecting the correct layout of MM/DD/YYYY.)

START_TIME *

Military Time (⚠️ 20:30 instead of 8:30pm)

END_TIME   Military Time (⚠️ 20:30 instead of 8:30pm)
TEAM    
LOCATION   Optional, if left blank, will default to TBD.
SUB_LOCATION   Optional
LOCATION_NOTE   Optional
DESCRIPTION   Optional

Save it as a .CVS file

Step 3: Import the Schedule

  1. Navigate to the schedule/calendar tab within the desired program. Click Import Schedule.
  2. Click Choose File and select your saved .CSV file. Once it is loaded in click Upload & Validate

Step 4: Map your Import

Be sure to select the correct program from the Programs drop-down menu.

Step 5: Review and Accept your Schedule

Here you will want to review your schedule, if everything looks correct click Accept.

⚠️ You can still edit the details of the schedule after it is imported. 

After reviewing your schedule check the Publish Regular Schedule box and click Apply

Troubleshooting & Common Mistakes 

If you see the following error message (pictured below), make sure to check both of the following things on your Excel Document with the schedule. 

  • Make sure the year of the date is a four-digit number instead of a two-digit. Example: 04/12/2019
  • Make sure that if the program is not a Grouped Program, the SUB_PROGRAM column is blank.
