Calendar Event Check-in

Use the Check-in Feature to track attendance at your events. Always have an accurate headcount of who made the game or practice and easily pull attendance reports for historical program data.

Enable Check-in for Calendar Events

Step 1

Navigate to the desired Program

Step 2

On the Program's Dashboard, click Settings > Preferences

Enable Check-in
Here you can also enable the RSVP feature.


Step 5

Click 'Save Preferences' at the bottom of the page

Set Up Calendar Events for the Program

Once a program is created, it is time to create Calendar Events for each program. 

Step 1

Navigate to the Program

Step 2

On the Program's Dashboard, click Schedule. (Note: If this is a grouped program you may need to navigate into the subprogram and then click on schedule)

Step 3

Click the green add a game or add an event button, to add a New Calendar event or game

Step 4

Choose Event to create Games, Tournaments, Scrimmages, Practices, Meetings, Classes, Camps, Leagues or Other types.

Fill in the details of the Calendar Event and Click Add Event

How to Check-In a Player or Staff

As an Admin User

Step 1

Navigate to the Program

Step 2

On the Program's Dashboard, click Schedule (Note: If this is a grouped program you may need to navigate into the subprogram and then click on schedule)

Find the Calendar Event that you need to Check-In participants to

Step 4

Click the Check-in icon (Checkbox)

Step 5

Here you can filter based on participants' RSVP response, Check-in Status, Team or Name

Step 6

To confirm a participant or staff member has checked into the event click the Check In button on desktop, or the grey question mark button on Mobile.

Step 7

If you need to reverse a Check-in, click the Undo Check-in button on desktop, and the green check mark button on mobile.

As a registered Staff Member

Step 1

Login to your LeagueApps Account


Step 2

Click My Schedule in the right side bar


Step 3

Find the desired Calendar Event for Check-in

Step 4

Click the Check-in button



Step 5

Here you can filter based on participants' RSVP response, Check-in Status, Team or Name



Step 6

Click the Check In button to confirm a participant or staff member has checked into the event.

Step 7

If you need to reverse a Check-in, click the Undo Check-in button.

Email Notifications

When a Child is Checked-in for a Program, an email notification is automatically sent to the child’s parent, who has an account on LeagueApps. This notification feature offers improved participant tracking so that all members are accounted for during an event and so parents are aware of their child’s whereabouts.

Attendance Reporting


Step 1

Navigate to Reporting > Attendance

Filter the report by specific Program, Program Type, Calendar Event Type or custom Date ranges.

This report is exportable to a .CSV file

Step 4

Click on the value in Checked-in Attendees to navigate to the program level check-in page, to see which participants attended.
