Attendance Report

The Attendance Report allows you to see which players have or have not RSVP'd and checked-in for games and events within a program. You'll be able to search by specific programs and also by specific players to see all attendance for the programs across your organization.

Navigation

To view this report, navigate to the Reporting icon and select Reports option under the Analytics header. Then, navigate to the left-sidebar, and select Attendance under the Registrations & Members section. 

Attendance Summary

In the first chart, you are able to see every game and event’s attendance information. 

You can filter the data for this chart by selecting options from the filters above the chart:

  • Site Name
  • Event Start Date
  • Program Name
  • Grouped Program Name
  • Event or Game
  • Type
  • Program Type

Program Attendance

In the second chart, you are able to see attendance information grouped on the program-level, for the events and games that fall under that program. These programs can be expanded and collapsed to view this information.  

You can filter the data for this chart by selecting options from the filters above the chart:

  • Site Name
  • Grouped Program Name
  • Program Name
  • Title
  • Start Date
  • End Date
  • Event or Game
  • Type

Player Attendance

In the third chart, you are able to see attendance information grouped on the player-level, for the programs that the player is registered to. These player names can be expanded and collapsed to view this information.  

You can filter the data for this chart by selecting options from the filters above the chart:

  • Site Name
  • Full Name
  • Event or Game
  • Type
  • Start Date

Check-Ins by Player Name 

This final chart shows which players have checked in to which activities, based on program name, activity name, and activity start date.

Extracting Custom Form Fields

To extract custom form fields in the Attendance Summary chart, right click the User Properties column; and in the Program Attendance and Player Attendance charts, right click on the Registration Properties column and Custom Member Form Fields column. Then click Extract columns. This will display a menu where you can click to select as many custom form fields as you want to add as table columns. After selecting these fields, click Confirm. You will now see the custom form fields as new columns in the table. 

Exporting, Bookmarks, Sending, & Scheduling

Each chart can be exported or filtered by hovering over the top right corner of the chart and selecting your desired options.

If you added any filters to customize this report to your needs, you can save that filtered report as a bookmark so that you are able to access it in the future. You can bookmark the report by clicking the bookmark dropdown in the bottom right of the report and selecting Save as new bookmark.

You can also save one of your Bookmarks as the default, so that bookmarked filtered report that will open when you navigate to that specific Analytics report.

⚠️ Currently, bookmarks cannot be scheduled to send. You are able to export your bookmarked report at any given time, but cannot schedule it to send ahead of time.

 

Any report or dashboard from LeagueApps Analytics can be exported by selecting the three horizontal lines in the bottom left corner of the screen, and then selecting Schedule export or Send now. You can choose to schedule exports at specific days and times, and with specific conditions (e.g. only if new data has occurred),

You can then choose email addresses—whether they’re part of your organization or not—to send it to, and the cadence you would like the export to occur at. Depending on the report or dashboard, you can export the data as CSV, Excel, or PDF.

⚠️ Be sure that the Run queries as recipient checkbox is not checked when sending reports to any recipients besides yourself.
