Chubb Integration

Chubb is a leading insurance provider who we’ve teamed up with to provide registration fee insurance to your members. With this integration, you can send information about registrations on all or selected LeagueApps programs to Chubb, and they will be entered into an outbound marketing campaign to purchase registration fee insurance.

How Does the Integration Work?

Once the integration has been set up, your organization will follow this process:

  1. Your players will register for a non-refundable program within LeagueApps.
  2. For parents of every player who registers for a program on the LeagueApps site, they will be entered into an outbound marketing sequence campaign, where they can purchase registration fee insurance provided by Chubb.
  3. Parents who purchase the insurance will have their registration fees protected in cases of illness or injury that prevent their child from completing the program.
  4. As the organizer, you won’t have to worry about providing refunds to those parents.
⚠️ The following states are not approved for this product — in other words, if a parent’s address is listed in one of these states, they will not be notified nor able to purchase registration fee insurance from Chubb. However, keep in mind that more states will soon be approved — this list is regularly updated:
  • California
  • Florida
  • Kansas
  • New York
  • Oregon

 

Integration Prerequisites

Your programs and registrations must fulfill certain criteria to be eligible for Chubb registration fee insurance:

  1. The program cannot be free.
  2. The program must be non-refundable.
  3. The program must have an end date.
  4. The season end date is required.
  5. The registrant must have made at least a partial payment at least one day before the first day of the program.
  6. The registrant’s parent is over 18.
  7. The registrant’s full name and date of birth are listed in the registration record.
  8. The parent of the registrant’s full name, address, email, and date of birth are listed in the registration record.

 

Setting Up the Integration

Step 1 [optional]. Add a custom form field question

In order to give your members a heads-up that they will receiving marketing content from Chubb, we recommend that you include a form field question in every connected program.

  1. To add a custom form field question to a program, go to your program, then Settings, then Form fields

  2. Select Add a Form Field

    1. Field Name: The exact wording is up to you and your organization, but we suggest something like “Please check this box to acknowledge that you will be receiving an email from Chubb Insurance about purchasing registration fee insurance.”
    2. Type: Multiple Checkboxes
    3. Select Add Property

  3. Under the new question, select + add item

  4. Make the label “Yes” and select save

  5. The question will appear in the registration flow like the following:

Step 2. Add “non-refundable” to waiver

Programs must be non-refundable to be eligible for Chubb to pay out a claim. In order to supply this evidence to Chubb, you must add language about how the program is non-refundable to the waiver that a parent signs when registering and paying for a program.

  1. To edit the waiver of an individual program:

    1. Navigate to the program, then Settings, then Waiver

    2. In your existing Main Waiver, add a clause such as the following:

      ”All Registration Fees associated with this program are non-refundable. By signing up for registration and the payments required, you will be responsible for all registration fees in the event you are not able to complete participation in the season.”

  2. To edit the Main Waiver across your site:

    ⚠️ Note: this will impact all new programs created on your site.
    1. If all of your programs will be non-refundable and you want to connect them all to Chubb, this option will save you time.

    2. Navigate to the settings gear in the top nav bar, then Registration Settings, then Waivers

    3. In your existing Main Waiver, add a clause such as the following:

      ”All Registration Fees associated with this program are non-refundable. By signing up for registration and the payments required, you will be responsible for all registration fees in the event you are not able to complete participation in the season.”

Recommended: Add “non-refundable” to program info

While not required, we do recommend that you add “non-refundable” to the description and confirmation message for any connected program.

  1. Program description
    1. Navigate to the program, then Settings, then Edit Details
    2. In your existing Description, clarify that it is a “non-refundable program”
    3. Select Update
  2. Confirmation message
    1. Navigate to the program, then Settings, then Registration Options
    2. In your existing Successful Registration Message, clarify that it is a “non-refundable program”
    3. Select Update

Step 3. Authenticate your LeagueApps site ID

  1. From your LeagueApps Member Console, navigate to Integrations, then API settings

  2. Enter a name for your credentials, such as “Chubb” and select the Generate Private API Key button. If you don't enter a name, the integration will not work. (Note: the Private API Key used to be called the Service Account Key.)

  3. Once a Private API key is generated, a file will be downloaded to your computer and a new record will appear in the API KEYS list on the page. The name of this file is also known as the client ID. You will need both this file and the client ID in a later step.

  4. In a separate tab, navigate to Integrations, then Integration Center.

  5. Click on the Chubb tile and then select Connect App.

  6. Next to the LeagueApps icon, select Connect. Supply your LeagueApps API credentials and select Save.

    • P12 file - Upload the private API key that you downloaded from the API Settings page. It is the form of a p12 file. For example, 60febf874c68s0wekbo203.p12.

    • Client ID - Paste the name of the Private API key (aka p12 file) that you downloaded from the API Settings page. The client ID can also be found in the table on the API Settings page under Key Name. For example, 60febf874c68s0wekbo203.

    • Site ID - Type in your Site ID. This is the string of 3-5 numbers found in your browser’s URL bar. For example, 43590

  7. You do not need to supply any additional information at this step to connect with Chubb. Select Next.

⚠️ NOTE: if you want to have the Chubb integration set up on multiple different sites within your LeagueApps organization, you will need to repeat these steps for each site.

 

Step 4. Configure your settings

  1. You'll be taken to a configuration page which is where you'll be able to enter information about your organization in order to set up the insurance policy for this site. This data will be sent to Chubb so that they know who to list as a secondary beneficiary on the insurance, as well as who to reach out to for additional information in case of a claim.

  2. Please hover over the tool tips (the grey question marks next to each option) for more information about each field

  3. Select Next.

Step 5. Set the schedule and sync

  1. On the next page, you'll be asked to set the sync schedule. For this integration, it will sync on a regular, 1 hour cycle.

  2. Be sure that the sync is unpaused (the toggle is to the left).

  3. Select Save + Sync Now if you’re ready to begin syncing now. Otherwise, select Save, and the integration will run its first sync at the next sync cycle.

Step 6. Using the integration

  1. Every day, data for all applicable registrations will be sent over to Chubb.
  2. The following day, the parents of those registrants will receive an outbound marketing email from Chubb regarding purchasing registration fee insurance.
