If you're looking to add players to teams, using the Player Invite tool is the best way to move players from a Tryout to a Club Team or from last season's event to next season's event. This tool allows you to invite private invitations to your participants so they can quickly register and so you can easily track them.
Inviting Players
Step 1: Find the program you are inviting players from
- Go to Manage
- Then click All Programs
- Find the program in the list and click on the program name to enter that program's dashboard
- You can also find programs by using the search bar.
Step 2: Locate the Player Invites page
- From the program dashboard, place your mouse over People at the top, then click Player Invites.
Step 3: Choose the program where players will be invited to
- Select Send Player Invites to Other Programs
- Then make selections in the three drop-down menus:
- If the FROM program uses teams or groups, select one in the first drop down
- Then select the program where players will be invited
- If the TO program uses teams or groups, select one in the final dropdown
- Once set, you will be presented with a list of players to that you can send invites.
- Check the boxes next to the names of players to be invited.
- You can also select the topmost checkbox to select all players
- Once selected, click the Invite Selected Players button.
Step 4: Send the invite email
After clicking the Invite Selected Players Button, a prompt will appear where you can customize the email's subject and add a custom message.
- Subject: This defaults to the name of the admin logged in when sending the invites. Feel free to customize this as you like.
- Message: The invite will have a default message, but you can add a custom message. The link to accept the invite in the email will appear below your custom message.
⚠️ It's best to keep the player's emails brief and concise. Emails with many attachments and links will increase the likelihood they will be flagged as spam. |
- Once finished with your edits, click Invite Players.
- Participants will receive an email with a link to accept the invitation. An example of the email is below.
- Participants will also be able to accept the invite via the Member Portal. This is a great way to accept an invite if the participant can not locate the invitation email. See the example below:
Tracking Player Invites
Step 1: Find the program players were invited to
- Go to Manage
- Then click All Programs
- Find the program in the list and click on the program name to enter that program's dashboard
Step 2: Locate the Player Invites page
- From the program dashboard, place your mouse over People at the top, then click Player Invites
- This listing shows players that have been invited to the program you are currently viewing. From here you can perform and view the following actions and information:
- Filter by invite status
- View send date
- View invite status
- Delete invites
- Resend invites
